Getting started
A new Infinity Portal business is set up in roughly this order - each step depends on the ones before it, so following it in sequence avoids having to go back and fill in gaps later.
1. Business setup
Configure Business Settings (company details, base currency), Accounting Settings (default G/L behaviour), and Tax Settings (tax groups/components) first - almost every other module reads these defaults when a new document is created.
2. Organization structure
Create your Branches and Warehouses. A branch is a physical location (a shop, an office); a warehouse is a stock location, and a branch can have more than one. POS terminals, users, and stock all attach to this structure, so it has to exist before anything else does.
3. Users & roles
Set up Roles with the permission set each job function needs, then create Users and assign them roles and branches. If you’ll run POS terminals, this is also where cashier PINs and POS card enrollment happen.
4. Master data
Bring in the data every transaction will reference:
- Items - the item master, plus Item Groups, Units of Measure, Brands, and Price Lists
- Business Partners - customers, suppliers and vendors
- Payment Terms, Payment Methods, Company Bank Accounts
- Chart of Accounts (G/L Accounts) and G/L Account Determination - the rules that decide which G/L account a transaction posts to, so this needs to exist before you post anything real
5. Opening balances
Once master data is in place, enter Inventory Opening Balances (starting stock per item/warehouse) and any opening journal entries needed to bring the general ledger to your actual starting position.
6. Approval workflow (optional, but recommended early)
If any document type should require sign-off before it posts, configure Approval Templates and Approval Stages now, before real documents start flowing - retrofitting an approval requirement onto documents that already exist is far more disruptive than starting with it.
7. Turn on what you need, and only that
Notification channels (SMS, Email, Telegram, WhatsApp), the AI Agent Settings, and Dashboard Widget Visibility are all off or minimal by default - turn on only what you’ll actually use. See each module’s own docs page for what a given switch actually does before enabling it.
